In Southern Maryland, fall and winter mean oyster roasts, fish fries, chili cook-offs and community fundraisers. These events bring neighbors, teams, churches and clubs together, and most of them happen outdoors. A good tent turns a field, parking lot or backyard into a comfortable gathering place, rain or shine.
If you are organizing a community event, here is how to plan your tent rental so the day runs smoothly.
1. Estimate Your Guest Count
Start with how many people you expect, then add space for everything else. Oyster roasts and fish fries need room for cooking and serving areas, a bar or drink station, a stage or music, and a line that does not block seating. Our frame tents come in widths of 30 and 40 feet and can be extended in length, so you can scale up for a large crowd. Our pole tents expand even further for very large gatherings. Browse our tent sizes and styles to get an idea.
2. Match the Tent to the Site
Many community events happen on gravel lots, fire department grounds, church parking lots or open fields. Frame tents are a good option for hard surfaces because they do not require deep staking. Pole tents work well on open grass. We offer a free on-site inspection to help you choose.
3. Think About Cooking and Safety
Oyster roasts and fish fries involve fire, steam, fryers or propane. Keep cooking equipment outside of the tent or in a separate area as directed by your local fire marshal and the event's organizers, and ask about local rules before the day. Your rental company can help you plan the layout so the cooking area and the seating area work together.
4. Keep Guests Comfortable
Cold-weather events need a plan for warmth. Optional sidewalls are available for all of our tents, and we rent LB White propane tent heaters. For warmer weather, we rent floor fans and clip-on pole fans. Read more in our heated tent rental guide.
5. Rent Everything in One Place
Save time by getting your essentials from one company:
- Tables: round, 8-foot banquet and cocktail tables
- Chairs: classic white and padded options
- Staging: for bands, announcements and raffles
- Lighting: string lights and bistro lights for evening events
- Generators: 7500-watt Yamaha units for sites without power
- Bathroom trailers: for large events with limited facilities
- Linens: to finish the tables
6. Book Early
Fall weekends are busy. Reach out as soon as your date is set so your tent is reserved. Our crew handles setup and removal, so your volunteers can focus on the event itself.
